The best thing to do is offer multiple options for signing up planned by
the VP Service.  Do it over email, and instead of sending the book around
for projects, have it sitting in the back of the meeting room 1/2 hour
prior to and 1/2 hour after the meeting so that people can sign up for
their projects and it does not disturb your meeting.
