Brothers,
Below I have outlined, as non-biased as possible, the facts of a
problem that Zeta Epsilon is having. Any input would be helpful.
Ever since Zeta Epsilon rechartered in 1994 we have had an
off-campus account. This account is a checking account maintained at a
local bank. A check must have two signatures (President, Treasurer, or
the Chair of the Advisory Committee are allowed to sign). The account has
been well run and well maintained with no problems.
Also since rechartering, we have had what is known as an Agency
account. This account is maintained by the college. The money in it
rolls over each year. In order to have a check cut, a receipt must be
attached to the proper forms and submitted on Monday for a Friday cut.
The check is then put into campus mail and is received sometime between
Friday afternoon and Tuesday morning. Every month the campus groups that
have an Agency account are supposed to receive a print out of all
transactions that have occured during the previous month.
The problem is that the college is trying to get rid of all
off-campus accounts by asking adviors if their group has such an account.
Our advisors are: the Judicial coordinator, head of Human Resources,
director of Community Service and a Sociology professor. At this point
the chapter does not want to give up its off-campus account because we
maintain it better than the college does with our Agency account.
This is the second academic year that we have spent trying to
track down where the printouts are going. In fact, we have not received
print outs of the Agency account on a regualr basis since we rechartered.
The administrator in charge of Agency accounts can not tell us where the
print outs are going each month and will not change the person who is to
receive it to one of our Advisors who has been an advisor for 4 years.
The off-campus account also allows us to fund a project without members
having to buy items out of pocket all the time.
How do other chapters handle their financail situations? How do
you fund projects? Has any other chapter had a situation like this? If
so, how did they deal with it? Any other advice would be helpful.
